Tags and segments are the two tools you use to organize your audience so you can send the right message to the right people. They sound similar but do different jobs — this guide makes the difference clear.

Tags vs. segments

Think of a tag as a sticky label you put on an individual contact — "customer", "webinar-attendee", "vip". You add and remove tags manually (or through automations), and a contact can have as many as you like.

A segment is a group of contacts. Rather than labeling one person at a time, a segment gathers everyone who matches a description — for example, "everyone tagged customer who opened an email in the last 30 days." You send campaigns to segments, not to tags directly.

The short version

Use tags to mark facts about a single contact. Use segments to pull those contacts together into an audience you can email. Tags are often the ingredients; segments are the recipe.

Static vs. dynamic segments

Segments come in two flavors, and choosing the right one matters.

  • Dynamic segments update themselves. You define rules, and BlueyEmail keeps the membership current — people join the moment they match and drop off when they no longer do. Perfect for living groups like "engaged in the last 30 days."
  • Static segments are a fixed snapshot. They capture whoever matches at the moment you create them and then never change on their own. Great for a one-time export or a frozen list, like "everyone who attended the March webinar."

When to reach for each

If you want a group that always reflects "who fits this description right now," use a dynamic segment. If you want to freeze a moment in time so it never shifts under you, use a static segment.

Build a dynamic segment

Open Segments and click New segment. Here's how to build a dynamic one from rules.

    Open Segments → New segment

    The Create Segment dialog opens.

    Name it clearly

    A Segment Name like "Engaged customers" saves confusion later.

    Keep Dynamic Segment on

    The Dynamic Segment checkbox is on by default — it keeps the membership fresh as people match or stop matching. Uncheck it for a fixed, static list.

    Add your rules

    Choose Match ALL (AND) or Match ANY (OR), then add conditions with + Lead property and + Email engagement. For example: Tag contains customer AND has opened an email in the last 30 days.

    Read the preview

    Each engagement rule reads back as a plain-English sentence — check it does what you expect.

    Save

    Click Create Segment. It starts filling immediately and updates on its own from then on.

Start broad, then narrow

Add one rule, check the count, then add the next. Tightening a segment one condition at a time makes it easy to spot the rule that's excluding more people than you meant to.

Target a campaign at a segment

Once a segment exists, sending to it is simple.

    Create or open a campaign

    Head to your campaign and go to the recipients step.

  2. 2

    Choose your segment as the audience

    Pick the segment from the list instead of your whole contact base.

  3. 3

    Review the recipient count

    BlueyEmail shows how many active contacts will receive the send.

  4. 4

    Send or schedule

    For a dynamic segment, membership is evaluated at send time, so you always reach the current members.
