Build a welcome sequence

A welcome sequence is the friendliest automation you can build: three emails that greet new subscribers, earn their trust, and gently guide them toward their first action. Here's how to put one together from scratch.

Before you start, make sure you have a signup form live and collecting contacts. If you don't yet, set one up first — see Build a signup form. You'll also want your three emails drafted, or at least a rough idea of what each one says.

Plan the three emails

A classic welcome sequence spaces three emails over the first few days so you stay top-of-mind without overwhelming anyone. Here's the shape, with wait steps doing the pacing between each one:

  1. 1.Email 1 — Welcome (send now). A warm hello that thanks them for joining, sets expectations for what you'll send, and delivers anything you promised at signup.
  2. 2.Wait 2 days.
  3. 3.Email 2 — Tips (after 2 days). Share your most useful resource, a quick-start guide, or your best advice — pure value, no ask.
  4. 4.Wait 2 more days.
  5. 5.Email 3 — Offer (after 4 days total). Now that you've built goodwill, make a clear invitation: a discount, a free trial, or your best next step.

Make it feel personal

Use merge tags to greet people by name and pull in their own details. See Personalize with merge tags.

Build it in the workflow builder

Head to Automations in the left nav and click New automation. In the Create automation dialog, give it a name (like "Welcome Series") and set the Trigger event to Form Submission. Click Create automation to open the canvas, then add and connect the step nodes in this order:

    Confirm your trigger

    The Form Submission trigger sits at the top of the canvas. Point it at your signup form so the automation starts the instant someone joins.

    Add a Send Email step — Email 1

    Click + Add step → Send Email and select your welcome email. It goes out immediately after the trigger fires.

  3. 3

    Add a Wait (Delay) step — 2 days

    Add Wait (Delay) below Email 1 so new contacts pause before the next message.

    Add a Send Email step — Email 2

    Add another Send Email and choose your tips email. It sends two days after they joined.

  5. 5

    Add another Wait (Delay) — 2 days

    This creates the gap before your final email.

    Add a Send Email step — Email 3

    Add a final Send Email with your offer email. It lands on day four.

    Review the flow

    Read down the canvas top to bottom: trigger, email, wait, email, wait, email. Confirm the order and timing look right.

    Turn the automation on

    Activate it. From now on, everyone who submits your form is enrolled automatically and starts at Email 1.

Heads up

An automation only enrolls contacts while it's active. If you leave it in draft, no one moves through it — double-check that it's turned on before you call it done.

Test before you trust it

Once it's live, run a quick sanity check so real subscribers get a polished experience.

  • Submit your own form with a test email address and confirm Email 1 arrives.
  • Check that your name and any merge tags render correctly, with no blank spots.
  • Make sure every link works and points where you expect.
  • Come back in a couple of days to verify the waits fired and Emails 2 and 3 followed on schedule.
